What It’s Like To Work At Koozai

The Role

We are looking for an experienced Office Manager to join our award-winning agency, to manage and co-ordinate the office administration and procedures to ensure organisational effectiveness. This role will be based in our Southampton office.

This is an exciting opportunity to join a dynamic agency, assisting the senior management team and providing support with various tasks. You’ll need to be an energetic professional, who doesn’t mind wearing multiple hats.

You will be experienced in handling a wide range of administrative and executive support related tasks, and able to work independently with little or no supervision.

You will be well organised, flexible and enjoy the administrative challenges of supporting an office of diverse people.

All work must be completed to the best standards possible, within the given time frames. Any issues or problems must be raised to your manager at the earliest possible moment.

Required Skills

The successful candidate should be able to demonstrate the following:

  • The ability to multitask
  • Proficiency in the Microsoft office suite
  • A willingness to learn, research and use initiative
  • The ability to work to tight deadlines and deliver results
  • Outstanding organisational skills, attention to detail and the ability to prioritise
  • Working as a team player whilst being able to work on set individual goals
  • A commercial awareness to maximise efficiency
  • Excellent written and verbal communication and literacy skills
  • Good command of the English language
  • Ability to report to management and director level
  • Knowledge of accounting, data and administrative management practices and procedures
  • Knowledge of clerical practices and procedures
  • Knowledge of human resources management practices and procedures

Duties and Responsibilities

  • Overall office management
  • Reception and providing general support to visitors
  • HR management
  • Invoicing and chasing up debtors
  • Project management: work/time planning, calendar organisation, scheduling and reporting
  • Holiday, calendar and meeting room management
  • Organising Koozai events, meetings and travel
  • Sourcing, managing and liaising with external suppliers and contractors
  • Maintaining quality control with core business documentation
  • CRM, Collaboration and time management systems updates and maintenance
  • Process documentation management
  • Stock control
  • PA support for the MD and senior management team
  • Assisting with administrative duties from the channel teams
